Make DingTalk work better for you

QwenWork User Guide

Since its launch, Qwen Office has been fully integrated with DingTalk. Beyond basic features such as group summaries, documents, spreadsheets, schedules, and to-do lists, it deeply connects over 25 business modules including AI transcription, approvals, attendance, and DingDrive. While each module may seem ordinary on its own, combining them significantly boosts productivity.

Today, we’ve handpicked five high-frequency combinations, each with ready-to-use prompt templates. From client meetings to handling approvals, these tips will help you breeze through your daily tasks.

01 Pre-Meeting Briefing

Let it fetch files for you

AI Transcription × Email × Group Chat × DingDrive

Preparing before meetings or client visits is often chaotic: digging through records, searching emails, locating previous meeting notes—after all this effort, you still worry about missing critical information. Let Qwen Office handle this: it can access transcribed meeting notes from AI transcription, email threads, messages mentioning the contact in group chats, and relevant files stored in DingDrive, eliminating the need for manual compilation.

Prompt Template · Direct Copy

Next Tuesday I’m visiting client XX. Please compile a pre-meeting briefing covering three items: ① the transcript summary from our last meeting; ② email correspondence with them over the past month; ③ any documents or links related to this client shared in the project group. Structure the report into four sections: key points from the last discussion, unresolved issues, requests made by the client, and a list of relevant documents. Save the final report as a DingTalk document and send it to me.

This prompt works whenever you need to gather historical data—before reports, project kick-offs, or post-project reviews.

Security Note: Qwen Office strictly respects individual permission boundaries, accessing only groups you’re in, DingDrive files you have rights to, and AI transcription content you've recorded.

02 Group Knowledge Inventory

Turn chat history into a searchable database

Group Chat × DingDrive × Knowledge Base

An active project group that's been around for years may have shared hundreds of files, making it like finding a needle in a haystack when you actually need something. Let Qwen Office organize scattered files into a well-indexed catalog with sources cited—transforming chat logs into reusable assets.

Prompt Template · Direct Copy

Compile all files and links shared in group XX this month into an indexed inventory: for each entry, include who shared it, when it was sent, and a one-sentence description. Sort entries in reverse chronological order, categorizing them into three types: documents, spreadsheets, and external links. After completion, archive the index under "Knowledge Base - XX Project." Before archiving, send me the draft for confirmation.

Advanced Tip: Set up a scheduled task in Qwen Office to automatically generate this inventory on the 1st of every month, keeping your knowledge base continuously updated. All historical group content becomes instantly accessible.

Chat history shouldn’t be buried by time—Qwen Office can bring it back to life.

03 Daily & Weekly Reports

Transform spreadsheets into dashboards, auto-share in groups

AI Spreadsheets × QW Pages × Group Bot

In cross-team progress tracking, the real headache isn't updating the spreadsheet—it’s the repetitive reporting: taking a screenshot, adding a caption, and posting it in the group, day after day. You don’t need to do this manually anymore! Qwen Office can automate the entire workflow:

1 Read the AI Spreadsheet

2 Generate a web dashboard

3 Publish via QW Pages

4 Bot posts the link in the group

Though the process sounds complex, setup takes just four steps.

Step 1: Prepare a single source of truth in your spreadsheet

The dashboard layout depends entirely on your AI Spreadsheet structure. Spend ten minutes organizing clear columns: Task, Owner, Status (Not Started / In Progress / Completed / Blocked), Deadline, Notes. Each section of the dashboard corresponds to one column—no need for everything to be included.

Step 2: Teach Qwen Office to read your spreadsheet

Send two separate instructions: first ask it to summarize what it sees, verify accuracy, then proceed to build the dashboard.

First Instruction · Direct Copy

Read the DingTalk AI Spreadsheet - "XX Project Progress," and tell me: which columns you detect, total number of rows, and how many items fall under each status. Just report—don’t start building the dashboard yet.

After receiving the report, double-check column names, row count, and status distribution.

Second Instruction · Direct Copy

Based on the data just read, create an HTML dashboard with three sections: Overall Progress, Today’s Updates, and Blocked Items. Ensure readability on mobile devices. Show me a preview first.

Review the preview carefully, especially checking the count of completed items. Resize the browser window to simulate a mobile screen to ensure no layout issues. Once confirmed, publish:

Publish Instruction · Direct Copy

Publish this dashboard as an online page using QW Pages.

Step 3: Have the bot share the link in the group

This step varies depending on whether a bot already exists in the group.

Scenario One: A bot already exists in the group

Bot Posting Instruction · Direct Copy

Use the bot in the XX Project group to post the recently published online dashboard link, along with a brief daily summary under 100 characters.

Scenario Two: No bot currently in the group—let Qwen Office create one

You can directly instruct Qwen Office: “Create a bot in DingTalk named XX and add it to the XX Project group.”

Step 4: Schedule it to run automatically every day

Combine the above three steps into a scheduled task. Since scheduled tasks run independently without context, you must restate the spreadsheet name, group name, dashboard structure, and full workflow within the instruction.

Scheduled Task Instruction · Direct Copy

Read the DingTalk AI Spreadsheet - "XX Project Progress," update the daily report dashboard accordingly with three sections: Overall Progress, Today’s Updates, Blocked Items—optimized for mobile viewing. Publish via QW Pages, updating the previously published dashboard page (do not create a new page or post a new link in the group). After completion, have the bot in the XX Project group send a message containing a concise daily summary (under 100 characters) and the dashboard link. If reading the spreadsheet or sending to the group fails, report the error clearly—do not fail silently.

Once set up, your group receives a daily bot message with a link: clicking it opens an auto-updating HTML dashboard showing progress, updates, and interactions—mobile-friendly, while the original AI Spreadsheet remains untouched.

04 Attendance Reconciliation

Let it settle your monthly attendance accounts

Attendance × Approvals

Qwen Office doesn’t just write and summarize—it integrates with DingTalk’s OA system to retrieve detailed attendance records, leave balances, overtime compensation rules, and even draft approval forms. This ability to act on live systems—not just generate text—is what separates it from generic AI agents.

Prompt Template · Direct Copy

Please check my DingTalk attendance record from the beginning of this month until today, including: number of normal working days; late arrivals, early departures, and missed check-ins; leave, business trips, field visits, and overtime records; current shift schedule and attendance group; remaining annual leave and other available leave balances; and the attendance rules related to me such as make-up card policies and overtime procedures. First provide an attendance overview, then list abnormal records chronologically, indicating which ones may require submitting make-up card, leave, business trip, or overtime applications. Only query and analyze—do not submit any approvals automatically.

Mechanical reconciliation tasks like this can now be fully delegated to Qwen Office.

05 Batch Approval Processing

Review summaries before acting

Approvals

For many, approvals are treated as routine chores done in batches during free moments. The challenge lies in reviewing each one clearly and confidently.

Qwen Office can pull all pending approval requests assigned to you, summarize them by any dimension, and sort them—turning fragmented to-dos into a clear, data-driven view.

Prompt Template · Direct Copy

Extract all approval requests pending my review, sorted by amount from highest to lowest. List amounts over 10,000 separately and highlight them in red. For each request, keep only four fields: applicant, reason, amount, and submission time—remove all formatting elements. Merge small purchase requests of the same type into single summary lines with total counts.

Dozens of individual forms can become one clear preview table: sorted by value, highlighting exactly which approvals require close attention.

Using DingTalk: Before & After

Before

  • × Team Chaos: Team members are all busy with their own tasks, standards are inconsistent, and the more communication there is, the more chaotic things become, leading to decreased motivation.
  • × Info Silos: Important information is scattered across WhatsApp/group chats, emails, Excel spreadsheets, and numerous apps, often resulting in lost, missed, or misdirected messages.
  • × Manual Workflow: Tasks are still handled manually: approvals, scheduling, repair requests, store visits, and reports are all slow, hindering frontline responsiveness.
  • × Admin Burden: Clocking in, leave requests, overtime, and payroll are handled in different systems or calculated using spreadsheets, leading to time-consuming statistics and errors.

After

  • Unified Platform: By using a unified platform to bring people and tasks together, communication flows smoothly, collaboration improves, and turnover rates are more easily reduced.
  • Official Channel: Information has an "official channel": whoever is entitled to see it can see it, it can be tracked and reviewed, and there's no fear of messages being skipped.
  • Digital Agility: Processes run online: approvals are faster, tasks are clearer, and store/on-site feedback is more timely, directly improving overall efficiency.
  • Automated HR: Clocking in, leave requests, and overtime are automatically summarized, and attendance reports can be exported with one click for easy payroll calculation.
