In the AI era, to better and faster serve customers with new products, Landray Software chose DingTalk. They used AI-powered spreadsheets to build business systems, centralizing management of nationwide customer resources and project progress, significantly saving time and system development costs. At the same time, by using online documents to coordinate and execute annual planning, they achieved a notable boost in efficiency.

From Collaborative Office Tools to Building Lightweight Business Systems

In 2015, Landray Software began using DingTalk and became one of its ecosystem partners. The team leveraged DingTalk’s instant messaging and document collaboration features for efficient day-to-day operations, growing alongside the platform. In 2024, Landray launched a new business unit—“Digital & Science Battlefield,” focusing on serving large government and enterprise clients nationwide. This expansion required a complete restructuring of organizational architecture, customer resources, and operational processes, creating an urgent need for a customer-centric business system to support nationwide sales operations.

Three Key Challenges: How to Understand Customers, Manage Processes, and Gain Holistic Insights?

As head of the Digital & Science Battlefield division, Jiang Honghui faced three core challenges:

First, how could sales teams across 12 regional offices collaborate with headquarters to map out customer strategies and clarify paths for identifying and following up on business opportunities?

Second, how could sales managers at all levels gain real-time visibility into frontline customer engagement progress and contract status to effectively manage processes?

Third, how could headquarters obtain a comprehensive view of business performance to promptly optimize product strategies and market tactics?

Choosing AI Spreadsheets: A Lightweight, Flexible, and Efficient Digital Infrastructure

Traditional custom development or purchasing off-the-shelf customer management systems were costly, time-consuming, and often failed to fully meet needs. “We found that custom development would require at least three engineers working for over a month and a half, while buying a ready-made system would cost tens of thousands of yuan and still might not match our requirements,” said Jiang Honghui. “We needed a lightweight solution.”

Built upon their existing use of DingTalk for daily operations, the team ultimately opted to use AI spreadsheets to build their business system. These AI spreadsheets offer data aggregation, real-time collaboration, and analytics capabilities, along with automated alerts and task assignments—perfectly aligning with the need for a lightweight system.

In just one week, a single team member completed the entire setup, implementing tiered permission controls and automated workflows. The AI spreadsheet consolidated nationwide customer information and project updates. By integrating document functionality, it also centralized historical customer records, breaking down data silos between CRM and contract systems, enabling synchronized updates between headquarters and regional teams, and helping sales teams gain a comprehensive understanding of each customer.

Frontline sales staff can now use AI to automatically extract and verify key details such as customer names, business scope, organization codes, and legal representatives, reducing customer record creation from 30 minutes to just 5 minutes.

Through automated configurations, changes in projects or delayed follow-ups trigger real-time alerts. “In the past, bottlenecks or opportunities in customer leads wouldn’t surface until weekly meetings. Now, every dynamic is like having sensors installed. If there’s been a long delay in follow-up, serious delays in progress, or a major policy update, the system automatically notifies the responsible person—no need for managers to manually track and remind everyone,” said Jiang.

For management, the AI spreadsheet has dramatically reduced the workload of data analysis. What used to take half a day each week to compile project data now takes only 10 minutes, achieving a 95% improvement in efficiency.

Headquarters in Shenzhen can now monitor the full national business picture in real time and adjust strategies accordingly. “DingTalk’s AI spreadsheets not only enabled our new business to launch quickly but also allow us to flexibly adapt our digital infrastructure as needs evolve—saving both time and effort. We are now replicating the success of the ‘Digital & Science Battlefield’ model across other business units, accelerating more initiatives through AI spreadsheets,” said Jiang Honghui.

Using Online Documents to Create a Strategic Collaboration Space

At Landray, DingTalk Docs has become a critical tool for strategy execution and operational management.

In many companies, strategic plans float like balloons in the air, never reaching the execution level. Misalignment between departments, collaboration difficulties, and implementation gaps are common issues.

Previously, Landray set annual goals through strategic workshops, communicated them during annual meetings, and then left individual departments to break them down and implement independently. Management could only rely on monthly or quarterly reviews to understand progress.

To move beyond the inefficiencies of层层 reporting and word-of-mouth communication, Landray established an annual strategic collaboration space within DingTalk Docs. During strategy formulation, leadership collaborates online, tagging relevant responsible parties, allowing business teams to directly break down tasks, plan key actions, and define major projects.

Each department also creates its own dedicated workspace within the document, clearly defining goals, detailing steps, assigning responsibilities, and recording outcomes. Tasks are assigned directly via @mentions in the document, so frontline employees no longer need repeated meetings to understand annual objectives and action plans. “Everyone operates in the same shared space. Complex organizational coordination turns into real-time online collaboration. Work now has clear direction and methodology, naturally leading to a significant increase in efficiency,” said Jiang Honghui.

Today, Landray establishes an annual “Smart Digital Landray” strategic collaboration space in DingTalk Docs, centrally storing annual budgets, performance metrics, organizational designs, meeting minutes, and special projects. This enables easy review and cross-departmental information synchronization, making the entire strategy process—from planning to execution—fully transparent and traceable.

Yang Jianwei, Chairman of Landray Software, said: “The strategic collaboration space based on DingTalk Docs acts like an X-ray machine for enterprise management. It gives leaders a bird’s-eye view while enabling departments to align upward, connect downward, and learn horizontally. This greatly enhances management transparency, execution capability, and knowledge accumulation, making Landray’s management system more robust, easier to upgrade, and better equipped to meet the challenges of the AI era.”
